Sales Workforce Platform ("SWP", "we", "us") is committed to protecting your privacy and handling your personal data in line with the UK GDPR and the Data Protection Act 2018. This policy explains what we collect, why, and your rights.

1. Who we are

Sales Workforce Platform is a company based in Newcastle upon Tyne, England. For the purposes of data protection law, we are the data controller for personal data collected via this website. You can reach our data contact at harry@salesworkforceplatform.com.

2. Information we collect

  • Information you provide: when you request a demo or contact us — your name, work email, company, team size, and any message content.
  • Usage data: with your consent, analytics data such as pages visited, device and browser type, and approximate location, collected via cookies.
  • Account & billing data (SWP OS customers): name, work email, company, role, hashed password, subscription and payment details.
  • Service data (as a processor): when you use SWP OS, we process call recordings, transcripts, AI-generated coaching/compliance outputs and CRM/contact records on your behalf and on your instructions. For this data you (our customer) are the controller; we are the processor.

3. How we use your information & lawful basis

  • To respond to enquiries and arrange demos — lawful basis: legitimate interests and/or steps to enter into a contract.
  • To improve our website and services — lawful basis: consent (analytics cookies).
  • To comply with legal obligations — lawful basis: legal obligation.

4. Cookies & analytics

We use a small number of cookies. Strictly necessary cookies keep the site working. Analytics cookies (Google Analytics) help us understand how the site is used, and are only set after you accept them via our consent banner. You can withdraw consent at any time by clearing cookies in your browser. For more detail, see Google's privacy information.

5. Sharing your information & sub-processors

We do not sell your personal data, and we do not use your service data to train third-party foundation models. We share data only with trusted providers ("sub-processors") who help us operate, under appropriate contractual safeguards:

  • Twilio — telephony (call connectivity & media)
  • AssemblyAI — speech-to-text transcription
  • Anthropic — AI coaching, signals & compliance analysis
  • Supabase — database & authentication (EU-hosted)
  • Render / Vercel — application hosting
  • Airwallex — payment processing
  • Resend — transactional email; Google Analytics — website analytics (consent-based)
  • Optional, only if you connect them: Slack, Google, Microsoft, HubSpot, Salesforce

We may also disclose information where required by law.

6. International transfers

Some providers may process data outside the UK/EEA. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement / Standard Contractual Clauses.

7. Data retention

We keep enquiry data only as long as necessary to respond and for our legitimate business records, after which it is securely deleted. Analytics data is retained per our analytics provider's settings.

8. Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict, or object to processing of your personal data, and the right to data portability. You also have the right to withdraw consent and to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk. To exercise any right, contact us using the details below.

We apply appropriate technical and organisational measures — including encryption in transit, access controls, and the principle of data minimisation — to protect personal data against unauthorised access, loss, or misuse.
